front office representative/receptionist (boise) **UPDATED**
JOB OVERVIEW
The Front Office Representative/Receptionist provides front desk reception services for the CCI Smith Service Center in Boise. Functions include managing and referring in-coming calls, in-person reception services for clients and guests, monitoring main lobby, assisting with client insurance processes, and other duties as assigned by the Office Manager.d by the Office Manager.
DUTIES AND RESPONSIBILITIES
• Provision of basic reception services at CCI Smith Center front desk.
• Answering and screening incoming calls; checking voice messages routinely.
• Ensuring calls and messages are properly transferred to appropriate CCI staff and volunteers.
• Receiving visitors at front desk by greeting, welcoming, directing, and announcing them appropriately.
• As first point of contact for CCI, promoting a welcoming, professional, and customer-service oriented presence in all interactions with visitors and staff/volunteers.
• Conduct intakes, both in person and on the phone, for prospective counseling clients.
• Assisting with the maintenance of staff/volunteer schedules and coordinate these schedules appropriately with guests and incoming calls.
• Providing clients with intake and information forms as well as agency policies and other documents as necessary.
• Obtaining client insurance information and other related data as necessary. Contact third party insurance plans to determine prior authorization requirements; determine copay/deductibles.
• Collect and process client fee payments.
• Coordinate with CCI accounting office to support clients and counseling staff and to assist with billing processes.
• Manage and enter data in agency client database.
• Assist with agency diaper and winter coat distribution program.
• Provision of reception oriented clerical duties and other administrative support as needed.
• Other duties as assigned by the Office Manager.
JOB QUALIFICATIONS
• Proven experience (minimum 2 years) as a receptionist, front office representative, or similar role.
• Experience working in a mental health or social service setting preferred.
• Professional attitude and appearance.
• Excellent communication and problem-solving skills; willingness to collaboratively problem-solve as necessary.
• Ability to foster a customer service demeanor and welcoming presence for CCI guests and callers.
• Ability to handle a fast-paced position and prioritize tasks based on importance; able to handle multiple demands and meet deadlines.
• Solid writing skills.
• Bilingual English/Spanish required.
• Nondiscriminatory attitude regarding people and ability to work with all populations essential.
• Commitment to Catholic Charities mission and values and a desire to assist underserved and high-need populations required.
• Ability to work five eight-hour days each week required: Monday – Friday, 9:30 am to 6:00 pm
• Associate Degree required; Bachelor’s degree preferred.
• Experience using Microsoft programs required; other database experience preferred.
STANDARDS AND PROTOCALS
Salary: $14.30/hr. to $16.83/hr.
Type of Employment: Non-exempt, full-time (40 hours/week), Monday through Friday, 9:30 am to 6:00 pm
